In short
Seat Circle is a service that uses an algorithm to arrange small social coffee tables held every Friday evening in İzmir. This policy explains, in plain language, what information we collect to match you with the right table, why we use it, and what rights you have over it. Our aim is to process as little of your data as possible, only as much as is genuinely needed.
Who processes it (data controller)

Data we collect
The name, email and phone number you provide when applying; your declaration that you are 18 or over; your compatibility test answers (interests, conversation style, preferences); your participation records for the approved table; the transaction reference for payment made via Stripe; and the notification/communication records we run over WhatsApp. We never see your card details; card data is processed only by our payment provider, Stripe.
Why we process it
We use your test answers to build a balanced, enjoyable group of 5-7 people (ideally 6) at each table. We use your contact details to tell you about your application status, approval and table details. We process payment data to collect the ticket and to issue refunds when needed, and your age declaration to ensure tables are made up only of participants who are 18+. We also process data for safety, fraud prevention and to meet our legal obligations.
Automated matching
When forming tables we use an algorithm that evaluates your answers. This can influence which table you are placed at; however, every table is manually reviewed and approved by our team before it is published. You can ask our support team about the matching and raise an objection.
Third parties we work with
We share your data only with the processors needed to run the service: Stripe for payment, WhatsApp infrastructure for notifications and communication, and analytics tools (e.g. Google Analytics 4) for visit statistics. Some of these providers may use servers abroad; in that case any transfer is made in line with applicable law and only to the extent necessary. We never sell your data for marketing.
How long we keep it
We keep your data only for as long as it is needed for its purposes. Payment and invoice records are retained for the periods required by applicable tax and commercial law. Your test answers and table records are deleted or anonymised within a reasonable time after you leave the service. When you request deletion, we delete data that we are not legally required to retain.
Security
To protect your data against unauthorised access, we take reasonable technical and organisational measures such as access restriction, encryption and regular review. No system is one hundred percent secure, but if a security incident is detected we will notify you in line with applicable law.
How to exercise your rights
You have the right to access, correct, delete, restrict the processing of, and object to the processing of your data. You can reach us at [email] to make these requests.
